big project, need input

i'm opening an indoor BMX race track, our opening target is september 27th, so i only have a couple weeks to get this up and running. what my set up (or will be rather), i have to have 1 (would like 2) terminals (laptops) used for checking in racers at the door running windows 7 and the ABA software (low requirements). i will need a printer for these. i would like the option of having them wireless.

i will also have 2 point of sale terminals (pc's) in our bike shop. 1 printer for each terminal.

i will also have a media terminal to stream content to 2 big screens (misc videos and displaying race info).

and i would like to have my guests have the option of being able to access and use our wifi for mobile internet access for them.

this is a basic rough draft of what i have in my head

the check in terminals basically just need internet access, but i would like to run the printer as a network printer. i would like to be able to back them up to the server.

the 2 POS terminals in the bike shop would just need internet access and use the server to back up to. their printers will be hard-wired, but, i would like each terminal to be able to use the other's printers, incase 1 of the printers craps out, we could run both terminals with 1 printer.

for the media pc, i just would like to be able to stream videos to the 2 lcd's. and during staging/race, i would like to be able to display race info. i'm thinking this would just be a simple light-weight linux/ubuntu box to stream media stored on the main server (smb/upnp sharing).

now, for the wifi access for our guests, i would figure around 25-30 people (if possible) connecting. this isn't necessary, but, we are trying to build a facility that is the first of it's kind and making it as user friendly as possible. the building is about 200k sq/ft (no walls), so i would imagine i would need some repeaters. but, is there a wifi access-point that can handle a large amount of connections like this?

as far as the main server, i was told by one of our sponsors that they have racks of decommissioned servers that they are giving us, so i'm hoping there enough there to make this all happen.

anyhow, anyone have any thoughts or input on this? i only have about 2 weeks to get this all together... and i know networking as well as i know brain surgery

How many servers are you getting because you don't need a FULL rack of server.
Wireless is easy just get a big ass wireless access point from HP or 3Com.
Dedicate 1 or more physical servers to backups and system images.
Have a wireless laser printer for the check in laptops.
Have a thin client for the big screens and load it off a VM on one of the servers.
I can draw a new map for you if you want a make a list of the stuff I would use.

yeah, that would be cool. and by racks of servers, i mean they literally have racks (shelves) of decommissioned servers in a warehouse, not necessarily rackmount systems.

Here you go:
The VM Ware Server Serves Media to the thin clients connected to the big screen. I will give you a list of the equipment I would use if you want.

not read this fully, but 2 points:

Don't use the same WiFi for your main network as you use for your clients - asking for trouble. Keep them fully separate with a hardware firewall inbetween.

I wouldn't use laptops to check in clients - too easily stolen. Use some thin clients, attach them to the back of your screens and bolt the whole lot down. You'll thank me when nobody runs off with your kit - it happens, however nice you think your clients will be.

Will have a look at the rest later.

well, the laptops are pretty necessary. registration runs for about an hour to an hour and a half before the race, this is when the lap top will be used to check riders in. after registration, they (the laptops) are moved to the office, so we can divide the riders up into classes and age groups for the races. during the races, the lap tops will be used in staging to verify that riders are staged in the correct lanes for their race.

so it's not like the laptops will also be laying around, they will basically be tied to our track clerk(s) all day.

on non-race open track days, riders will pay/check-in at the bike shop on one of the POS terminals and one laptop will be home with the clerk, the other will be on the road with our team manager.

‎2 c2d lappy's, secwap, vmware raid 5 rackserv with failover. 2 POS terms, 1k spool of cat5 & ends, 24 port switch.

Need: HPwap, printers & TC's.
